 Administrative Assistant-Communications

The parish office at St. Francis Borgia is seeking a part-time Administrative Assistant-Communications to share our mission with the parish and the community. This role involves coordination of communication in all levels in the parish, including the weekly bulletin and parish emails.  The schedule is 24 hours weekly, with potential flexibility in the days and hours of work.

Duties and Responsibilities

  • Create the parish weekly bulletin
  1. Collect articles and event postings from parish ministries to publish in the bulletin
  2. Review the parish and Archdiocese calendars to find additional bulletin content
  3. Produce the weekly bulletin with all the content collected
  4. Send the bulletin to parish staff for editing
  5. Submit the bulletin to the publisher each week by the deadline
  • Serve as the social media coordinator for the parish
  1. Create Facebook postings for upcoming parish events and special liturgies
  2. Consider adding other social media outlets to parish communication
  • Create a weekly parish-wide email
  1. Use Constant Contact to design and write a weekly parish email
  2. Determine appropriate content for each email
  3. Send an email to all subscribers each week
  • Maintain the parish website
  1. Add new events, calendar items, and volunteer opportunies to the parish website as they arise
  2. Make edits as needed when website content needs change

Knowledge

  1. One to three years of office or customer service experience
  2. Working knowledge of Microsoft Office programs and Google Workspace

Skills

  1. Strong verbal and written communications skills
  2. Proficient typing skills
  3. Comprehensive knowledge and application of grammar and spelling

Abilities

  1. Ability to multitask and prioritize
  2. Ability to present a positive attitude in a multitude of situations
  3. Attention to detail and troubleshoot
  4. Ability to maintain confidentiality
  5. Active participant in the work of the Catholic Church, preferred

Administrative Assistant

The parish office at St. Francis Borgia is seeking an Administrative Assistant to enthusiastically serve our parishioners. This individual would provide exceptional customer service via phone, email and in-person visits to the parish office.  The schedule is approximately 20 hours weekly and the work hours could be flexible during our business hours of 8:30 a.m. to 4:30 p.m.

Duties and Responsibilities

Coordinating baptisms
1. Function as the main contact for parents requesting baptism of their child.
2. Schedule parents for a Baptismal Preparation Class.
3. Collect the required paperwork and provide communication in this regard.
4. Schedule of baptisms with presider and on the parish calendar.

Maintaining the parish calendar
1. Review events and meeting requests and place on the parish calendar
2. Make note of any conflicts in requests and search for a solution

Record keeping for parish contributions
1. Coordinate and assist our volunteers in the weekly counting of parish monetary donations
2. Create weekly records of parishioner contributions via data entry into our parish database

Serving as the parish office receptionist
1. Perform the duty of primary receptionist in the parish office by prioritizing phone calls and office visitors over other tasks.

Knowledge

1. One to three years of office or customer service experience
2. Working knowledge of Microsoft Office programs and Google Workspace
